Detailed Job Description

  • To assist in the day to day requests for purchase orders ensuring that they are processed in line with the College’s financial regulations and procedures.
  • Provide a support service to the Procurement Officer including assistance in the preparation of quotes and tenders.
  • Ensure that all contract terms and conditions are observed.Understand how to benchmark ranges of products, report on best value and recommend key suppliers an example of this would be stationery.
  • Identify new supply chains and maintain a resource of product information.Input, report & enquire on the College’s finance systems as required.
  • Preparation of orders and dealing with customer and supplier queries.
  • Update and maintain the financial database (QLX) including requesting new suppliers and order variations.
  • Ascertain the correct process for each or combined requests including authorisations, and financial limits arrange quotations and assist in the preparation of tenders.
  • Assist the Procurement Officer in analysing quote and tender responses providing reports and recommendations.
  • Conduct and document vendor appraisals.Ensure that the College’s preferred supplier list and documents are up to date.
  • Expedite orders to ensure prompt delivery.Respond to delivery queries and resolve any issues that arise.
  • Preparation of database based reports and management information for monitoring savings, performance and value for money.
  • To maintain confidentiality at all times.

Requirements and Prospects

Qualifications required

Good understanding of IT is required e.g. Microsoft Packages. A* - C in English and Maths (or the equivalent level qualification)

Skills required

Ability to work independently and on initiative with minimum supervision, to organise and prioritise own workloads to meet deadlines, to establish and maintain efficient administration systems both computerised and paper based, to develop and establish Management Information Systems in a variety of formats.

Ability to communicate effectively with a wide range of clients/staff at all levels in a variety of formats, positive and flexible attitude to work particularly new initiatives, accurate with good attention to detail, must be a supportive and co-operative team player
