Description

As a receptionist you will be the first point of contact for the company and you will provide administrative support across the organisation. You will handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.It is crucial that the right candidate has exceptional customer service skills and is able to create dynamic working relationships with our clients whilst representing CSA Architects. This role will suit an outgoing, proactive person who is keen to learn and be a part of a busy team.

Reporting to: Directors (3) and Office Manager Purpose of job: To provide efficient Front of House and general administrative support for CSA Architects. Main activities, duties and responsibilities:

* Reception duties including meeting & greeting all visitors, receiving incoming telephone calls between 8.30am – 5pm, deal with queries (log and pass on to the relevant person), managing meeting room bookings and our corporate inbox.

* To undertake a range of administrative duties working to defined business standards and processes, in support of the professional functions within CSA Architects, including Filing, Recycling, some typing / formatting of letters, reports and other documentation, some client communication, compile standard letters, filing / archiving

* To undertake post duties, including opening and distribution of incoming mail and processing of outgoing mail.

* To undertake duties associated with data-inputting, data management, scanning and archiving and to assist the Officer Manager and Directors with General Administration and Office Management tasks of the company.

* To assist with the monitoring and ordering of stationery for the office and office supplies.

* Assist with general ad-hoc office/administration tasks as directed by the Office Manager and Directors to ensure an effective and efficient support service for CSA Architects

* To adhere to CSA-Architect’s Protocols and Policies (incl Health and Safety) and amendments made thereto.

What is involved:A one-day induction and 13 days at college. Typically up to three days college attendance for each Functional Skill (if required). The Diploma in Business Administration is achieved through building a portfolio, an exam and assignments. An assessor will visit the apprentice at work to support the apprentice and coach the development of skills at work.

Holidays: 20 days + Bank Holidays Pension: All eligible employees are admitted to the company's Pension Fund. You have the option to opt out of the scheme should you wish to. Working hours will be from 8.30 - 17.00 Monday - Friday.
