Woodside Lodge Outdoor Learning Centre is a new Independent Special School, based in Quorn, Leicestershire, catering specifically for children with an AUTISM SPECTRUM DISORDER, aged from 11-19, opening its doors to students on January 9th, 2013. Initially, on opening, we offered four places but this has since risen to six and is now expanding to twelve over the next three years.

Detailed Job Description

Role Purpose: Dealing with all phone calls to the Woodside Lodge OLC central number, visitors, deliveries and staff. To be the first point of contact for all incoming enquiries into the office and relay messages accurately and in a timely manner. To operate the gate management system band be an ambassador of the Woodside Lodge Outdoor Learning Centre brand and standards.

Key Responsibilities (including but not limited to):

  • Answering and dealing with all telephone calls to the main OLC number, taking messages and transferring calls where appropriate.
  • Listening to and dealing with voicemail messages
  • Recording student attendance and communicating names of absent students to staff by 08:45am or within 5 minutes of notification form the parent/guardian – whichever is sooner.
  • The timely transfer of messages to the appropriate person, within a maximum SLA of 1 hour.
  • Gate management, ensuring prompt staff and visitor entry to site
  • Sign visitors in and out and issue a visitor badge
  • General typing and data entry such as OLC staff memos and letters etc.
  • Photocopying
  • Filing
  • Producing pen portraits for new students
  • Producing staff ID badges
  • Challenging staff members that are not wearing their ID badge Communicate term dates to staff, parents and taxi’s
  • Manage deliveries, ensuring they are signed for and signed out by the relevant member of staff.
  • Keep delivery log up to date Take post to the post office
  • Take an interest in the overall operation of the OLC
  • Manage the return of parent reply slips for student trips and events
  • Inform and update relevant staff members of replies received
  • Provide administrative support to the Operations Manager when requested

Requirements and Prospects

Qualifications required

GCSE (or equivalent) Grade C or above in English Language and Maths is desirable but not essential

Skills required

  • A good level of IT skills, especially
  • Excel Excellent communication skills and organisational skills
  • A desire to start a career within administration

Personal Qualities

  • Drive, resilience, confidence, initiative, resourcefulness, calm under pressure, common sense and an ability to manage ambiguity.
  • Ability to build rapport & trust quickly with both students & staff.

Future prospects

Possibility for the right candidate to become a permanent member of the team.

Training provided

Level 2 Business Administration Apprenticeship includes:

  • Level 2 Diploma
  • Level 1 Functional Skills in Maths, English and IT unless exempt
  • Employee Rights and Responsibilities

You will be required to attend Loughborough College one day per week if Functional Skills are required.
