Detailed Job Description
Provide clerical support i.e. photocopying and typing, emails.
Input, retrieve and collate information using Departmental and Trust computer systems.
To approve requisitions on the Agresso system in line with Trust policies and procedures.
To deal with emails received into the team email account from colleagues and suppliers in an effective, timely and professional manner.
To receive visitors to the department in a professional, friendly manner while actively maintaining the security of the area.
Deal with face to face or telephone enquiries; convey messages and transfer calls as necessary while maintaining confidentiality at all times.
To communicate effectively and liaise with health professionals in a clear concise and professional manner.
Liaise with other agencies, departments and official bodies to assist in providing a high quality and efficient service sharing information as appropriate.
Assist as requested in arranging, note taking and preparation of meetings, distribution of materials / documents as required.
To act as an ambassador for the department and promote services.
Undertake statutory training as required in accordance with Health and Safety regulations.
To ensure that security in the work environment is maintained, by locking doors and windows; challenging unknown persons who enter the working area and by wearing the Trust’s identity badge at all times whilst at work.
To achieve apprentice framework (Key Skills, NVQ and Technical Certificate) within the specified time frame and:
Attend all of the training sessions for the programme whenever necessaryUndertake any necessary written work at home during the length of the course
Any other duties as deemed appropriate by senior staff.
Assist in project support activities; collating project documents, updating plans etc as required.
To provide a comprehensive and effective administrative service to support the smooth and efficient running of the department.
To deliver excellent customer service in dealing with telephone and email queries to our customers, ensuring that queries are resolved efficiently and effectively in a timely manner.
To be responsible for the provision, effective management and delivery of a responsive efficient and professional buying service to our organisation.
To proactively identify buying patterns and trends where procurement can add value and make efficiency and contribute to Trust cost savings.
To ensure that orders are raised through both electronic systems (Supply Chain and Agresso) providing clear details of goods and service requirements, and adhering to Standing Financial Instructions (SFIs).
Challenge requisitioners when requisitions are received in Agresso, and not completed appropriately.
If SFI limits are exceeded, the quotation process must be used to adhere to Trust policy of transparency, value for money and open and fair competition.
The post holder is required to communicate effectively and courteously with a range of internal & external personnel of varying levels of seniority.
