To assist with all the administration relating to our Business Advice service (approximately 12 clients a week), training courses (2 per week) and managing the facilities and tenants at Stanta Business Centre.

Working in a small busy office with lots of visitors and phone calls. Working under the direction of a full time Administration Manager and two part-time business advisers. We also share an office with the St Albans Chamber of Commerce (one full-time, two part-time).

Detailed Job Description

Business advice:

Speak to clients on the telephone, book them an appointment, input all their data into Access database, prepare a letter of confirmation (using Word with merge), email letter, prepare information pack (printing from a website), receiving client, offering them a drink. Updating the database with all their details after the meeting. Sending a monthly questionnaire requesting comments on our service (Word with merge). Updating lists of local accountants, solicitors, insurance companies, providers of office space and meeting rooms.

Training courses:

Upload training courses to our website, Eventbrite and to Herts Growth Hub, St Albans Businesses and Facebook. Assist in the paperwork relating to all training courses to comply with ERDF funding rules. Attend any of our training workshops that you wish.

Premises

Assist with premises & facilities management. Liaise with tenants, plumber/electrician/decorator. Prepare receipts for tenants for their monthly licence.

Marketing

Assist with social media: sending tweets, Facebook and LinkedIn posts

General office duties

Answering the telephone, receiving visitors, placing stationery orders and putting stationery away, preparing conference room for training courses (projector and cups), clearing up conference room after a course

PA/Office Manager duties

Deputise for Administration Manager in her absence (under direction from Executive Director)

Monday to Friday: 9am to 4pm with 1 hour lunch.

Requirements and Prospects

Qualifications required

A minimum of A*-C (9-4) in Maths and English GCSE or Functional Skills equivalent

A Levels would demonstrate a level of ability, but not essential.

Skills required

Good communication skills

Good level of English, with accurate spelling and grammar

Basic PC skills: Outlook, Word, Excel, Access (training will be given)

Personal Qualities

Cheerful and helpful, eagerness to learn

Keen / happy to have a full time office based job with the ambition to progress to Office or Admin Manager.

Like dealing with people

Future prospects

There may be potential for an on-going role at STANTA depending on funding: business contacts in the building may also provide opportunities; this role, once competence is demonstrated, provides great opportunity to work under the person’s own initiative, build confidence and skills in a friendly and supportive environment.

Advanced Level 3 Apprenticeship in Business Administration

PLEASE INCLUDE A CV TO APPLY. Driving Licence preferable, but not essential. Bus stops to Harpenden and St Albans town centre are about 10 minutes’ walk away. Prior to shortlisting your application for any vacancy, your qualifications will be checked. The National Minimum Wage for Apprentices is currently £3.50 per hour from 1st April 2017. This is the legal minimum pay per hour applying to 16-18 year old apprentices and those aged 19 and over, in the first year of their apprenticeship. For apprentices 19 or over who have completed their first year and are continuing their apprenticeship, the National Minimum wage appropriate to their age applies. The wage for Apprentices applies to both time spent on the job plus time spent training.
