Detailed Job Description

The primary purpose of this role is to provide a professional, efficient and customer focused reception service for Making Space Head Office. The Post holder will professionally assist with the meeting and greeting of all customers and visitors to Making Space and handle all phone calls in a timely, courteous and polite manner. The post holder will also be accountable for a range of multi departmental administrative activities.

Duties and responsibilities:

Reception Duties

  • Meeting and greeting clients, visitors and staff
  • Providing a friendly, welcoming and professional environment
  • Providing refreshments for meetings when required
  • Answering telephones in a professional and friendly manner
  • Taking full and accurate messages and forwarding to relevant members of staff
  • Transferring calls

Administration Tasks:

  • Completing delegated tasks and actions from e-mails received
  • Opening and allocating external and internal post
  • Franking of external post
  • Photocopying
  • Organising train tickets and pool car booking when requested
  • Managing meeting room bookings and ensuring that rooms are set up as required
  • Typing letters
  • Ordering stationery and refreshments as required, including the dissemination of marketing merchandise to services
  • Opening, distribution and sending of mail
  • Communication with Making Space suppliers and vendors
  • Take photographs and produce I.D badges for Making Space employees
  • To undertake any other duties in order to meet personal, team and organisational objectives following consultation with your manager
  • To demonstrate responsibility for promoting and championing all aspects of equal opportunities by valuing diversity in all areas of work
  • To take responsibility for ensuring and achieving the objectives of the Making Space Health and Safety Policy

Whilst every effort has been made to explain the main duties and responsibilities of the post, each individual task undertaken may not be identified.

Working week: Monday to Friday 9am-5pm 35 hours per week, 1 hour lunch

Requirements and Prospects

Qualifications required

Preferably GCSE or equvialent English and Maths

Skills required

  • Good communication and organisational skills
  • Able to use initiative
  • Ability to take instruction
  • Experience of working within an administrative role
  • Experience of using databases, including: input, analysis and presentation of information
  • Experience of using Microsoft Word, Excel, PowerPoint, Outlook and Internet Explorer for a range of different purposes.

Additional Information

Training provided

Candidates will be provided with internal mentoring, support and on the job training.In additional to this, the candidate will also complete an Apprenticeship Level 2 Business Administration.This will be provided vocationally and will cover Functional Skills (Literacy, Numeracy and ICT), Technical Certificate and the Business Administration Diploma. (NVQ).
