Detailed Job Description

  • This role will have responsibility for the HR Administration of the team and for supporting them in various HR and learning and development activities. The HR Administrator will work providing advice and guidance, implementing HR systems and processes and undertaking specific projects to achieve shared organisational objectives.
  • To be trained and responsible for the usage of the organisation’s HR System (SelectHR) to include reporting, updating and ensuring the accuracy of staff records. To train the HR team, HR Volunteers and other staff members as appropriate.
  • To be responsible for all employee change coordination and administration, by letter and on their electronic records on the HR System, including variation to contracts.
  • To be a point of contact for internal employees and external contacts on the telephone, by email and in person when required, including visits to our national and regional centres.
  • To support the HR team with all leavers’ administration; producing leaver’s letters, references and arranging exit interviews.
  • To support the Senior HR Manager with the design, delivery and evaluation of a successful end-to-end Learning and Development (L&D) Programme – to include leading on the full Corporate Induction programme, liaising with delegates and trainers, organising course materials and managing any associated costs and logistical arrangements, undertaking an evaluation after each individual learning event and make any recommendations to continuously improve.
  • To conduct group HR Induction sessions for new starters with the HR Officer.
  • To be responsible for the administration and coordination of the organisation’s Annual and Mid-Year Appraisal process, including updating forms and guidance notes for appraisers and appraisees.
  • To undertake a Training Needs Analysis from Appraisal forms and make recommendations to the Senior HR Manager (L&D and Projects) for training content for the L&D Programme.
  • To produce quarterly L&D statistics to feed into the HR Board Report.
  • To undertake any general project management, coordination and administration of the L&D Programme as required to support the Senior HR Manager (L&D and Projects).
  • To be responsible for processing relevant invoices using the relevant Finance System, keeping accurate records and ensuring timely payment.
  • To maintain confidentiality at all times and to operate appropriately when acting on behalf of the HR team.
  • To manage and co-ordinate own administration.
  • To support the Assistant Director of HR and Senior HR Manager’s when required with arranging travel to other offices including hotel bookings for overnight stays.
  • To support the Senior HR Manager (Recruitment and Transactions) with managing and delivering a successful end-to-end recruitment process – including liaising with recruiting managers, assisting with individual recruitment campaigns, advertising vacancies, arranging and confirming interviews, preparing materials, providing interview outcome and supporting the process for interview feedback, ensuring that the organisation’s Recruitment Policy and Procedure is adhered to.
  • To be fully responsible for ensuring all relevant recruitment data is accurately collected, recorded and evaluated.
  • To support and assist with liaising with successful candidates, managers and recruitment consultants regarding start date and references and to be responsible for all new starter administration, offer letters, contracts, new starter packs, references and filing.

Qualifications required

3 A levels grades A*-C & 5 GCSES grades A*-C including Maths and English or equivalent qualifications

Skills required

  • Previous experience of working in an administration role or environment with an interest in pursuing a career in HR.
  • Confident in using IT systems with strong analytical skills in order to support users with queries and problems and provide organisational solutions.

Future prospects

The opportunity to become a qualified HR Administrator and the potential for salary progression through the 24 months of the successful completion of the apprenticeship training with BPP and completing objectives set by the line manager. The opportunity to become involved in more HR and L&D project work and develop their career in HR. There will also be the opportunity to become involved in charity wide working groups such as ”Brand Champions” and the Social Committee.

Additional Information

Training provided

As a HR Support Apprentice with BPP, you will complete the HR Support Level 3 Advanced Apprenticeship, which is aligned with the Chartered Institute of Personnel and Development (CIPD). Upon completion you will be awarded the CIPD Foundation Certificate and you will be able to apply for Associate Membership (Assoc CIPD). The apprenticeship will be delivered through a blend of live online learning, pre-recorded lectures, and face to face inductions and masterclasses.
