Detailed Job Description
As a receptionist you will be working front of house at Adflex, you will be the first point of contact for our company. The role requires someone is who is a confident communicator, who can work independently prioritising their own work load.
Greet and welcome guests/visitors.
Maintain office security by following safety procedures and controlling access via the reception visitor book ensuring guests /visitors sign in and out of book.
Ensure visitor passes are provided to guests and information is documented.
Answer telephone calls, ensure accurate and basic information is taken.
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures.)
Receive, sort and distribute daily mail/deliveries.
Arrange travel and accommodation, ensure bookings are made on time and documented.
Order catering facilities for monthly staff lunch and meetings when requested.
Maintain records of and arrange delivery of refreshments.
Manage boardroom outlook calendar, ensure bookings run smoothly for all departments.
General Admin tasks:
Manage general mailbox for enquirers and forward on to the relevant department.
Prepare boardroom for meetings including catering facilities.
Scanning and faxing documents when required.
Preparing reports and presentations.
Logging faults and maintenance requirements.
Providing other administrative support to staff when needed.
Ensure staff notification or upcoming events are sent to staff using internal email address.
