Detailed Job Description

  1. To provide a full range of administrative support to the team. This will include simple information systems and responsibility for answering the telephone and recording / passing on messages.
  2. With the Project Manager, ensure appropriate filing systems are in place for all aspects of the organisation and that filing systems are up to date.
  3. .With the Community Development Officers, keep clear and accurate records of all community contacts. Maintain and develop the database and ensure that it is kept up to date.
  4. Responsible for ordering stock, maintaining stock levels and maintaining records of stock. Keep an inventory of all stock items and equipment.
  5. Responsible for petty cash movements and their recording; for the overview of office machinery.
  6. With the Project manager and the Community Development Officers, keep the organisation website and social media outlets up to date.
  7. Responsible for taking the minutes of the weekly staff ‘Planning and Liaison’ Meetings and producing a copy for each team member.
  8. Where required, to take part in meetings concerning the project and its work.
  9. To support officers with the production of material required for the Good Neighbours Project.
  10. To undertake such other duties that are identified by the Board of Directors which are commensurate with the post holders salary, aptitude and ability.

Requirements and Prospects

Qualifications required

Ideally with A-C grades in English, Maths and IT or equivalent. However this is not essential

Skills required

  • Excellent computer skills with knowledge of Microsoft Packages (Excel, Outlook, Word etc)
  • Strong communication skills, both written and verbal
  • Punctual with great time management
  • Ability to organise and prioritise workload.

Personal Qualities

  • Professional and able to represent the company positively always. Confidence – this role will involve speaking with external suppliers and customers.
  • Adaptable – able to pick up new tasks quickly and see jobs through to completion.
  • Outgoing – can quickly fit into the current team.
  • The ability to work as an individual as well as part of a team and be respectful to team members at all times.
  • Be an excellent communicator at all levels, via telephone and face-to-face. Be able to use their own initiative.

Future prospects

This could lead to a full-time permanent position upon completion of the apprenticeship programme.

Additional Information

Training provided

Learner will receive training 1 day a week at Nelson and Colne College to work towards an apprenticeship. On the job training will be provided by the employer.
