The main purpose of this Apprenticeship is to provide a professional Administration Support to the East Hampshire Service, undertake general administrative duties and to assist the Team Leader and other staff as and when required. The post holder will work towards a Level 2 in Business Administration.

Detailed Job Description

Reception Duties:

  • To answer the phone in a professional and efficient manner
  • To take accurate messages and liaise with other staff and managers Support housing management functions such as taking messages from landlords First point of contact for contractors, repairs and maintenance queries
  • To manage and deal with all post in a timely manner ensuring it reaches the right person or is scanned into the system and emailed to the correct person.Administration Duties:
  • To provide administrative support to staff within the service
  • To type correspondence and produce documents and letters as requested
  • To run reports and maintain IT systems and files
  • To scan and photocopy forms and documents
  • To support with referrals and general queries
  • To Maintain the staff and Service user databases
  • Ensure enough basic office stationary is available
  • any other duties required by you line Manager

Requirements and Prospects

Qualifications required

  • Be educated to GCSE Level standard or equivalent
  • Have a good level of numeracy
  • Good understanding of MS Office applications

Skills required

  • Good IT skill confident in Microsoft Office; Word and Excel
  • Good verbal communication and the ability to actively listen to others
  • Accurate keyboard skills
  • A dedicated, conscientious approach to work
  • Excellent customer service skills and a caring approach
  • Ability to organise and prioritise your workload
  • Ability to consult with colleagues and work as part of a team
  • A common sense approach to problem solving
  • Ability to work flexibly according to the needs of the service
  • Willingness to commit to learning
