Detailed Job Description

To continually support improvement across all areas of the Student Records Team including developing and implementing new working practices and utilising technology available.To support the Student Records section to deliver a high quality service in a timely and efficient manner and remain highly customer focused at all times.

Undertake a range of administration functions for the delivery of all student records activities within class-based , workplace, Higher Education and external subcontractors or partnerships

To assist academic, workplace, management and business support staff responsible for key student data-related college processes, including curriculum planning and setup, enquiries, admissions, enrolment, timetables, registers, exams, reviews and employer information.

Develop and maintain a working knowledge of the student record systems, funding, learner eligibility rules for all sources of funding in accordance with college policy.

Support during enrolment events taking place throughout the academic year providing an automated enrolment service including support for curriculum and cross-college areas.

To drive and support the continual improvement within the Student Records team supporting the internal and external audit processes. Monitoring compliance to funding rules throughout the learner journey. Providing regular compliance update to your team leader.

To ensure all learner and employer documentation is received in a timely manner and is accurately inputted into the system and to follow up any outstanding documentation with delivery staff.

Develop and maintain a working knowledge of all student record systems, funding fees, learner eligibility rules for all sources of funding in accordance with college policy.

To set up monitor and maintain learner files, ensuring checklists are completed and all records are updated and maintained to meet requirements for compliance, quality audits and inspection.

Responsible for auditing your enrolments, sign up packs, in learning files and completions.

Compliance checks are adhered to daily, monitoring and maintaining your activities.

To support the grant administration process within your team and ensure you are aware of the procedures and payment system.

To ensure all systems, procedures and documentation are fit for purpose and in-line with compliance and audit requirements.

Advise on potential changes to systems through recommendations to managementTo track learner progress towards completion of qualification aims to meet targets and in order to maximise timely completions.

To contribute to the correct registration and certification of learners to meet the qualification aims and achievements.

To set up, monitor and update Employer records as per file checklist including H&S pre vets and updates.

Using Microsoft Office applications to produce a range of texts, mail-merge, spreadsheets, labels, databases, tables and chart

Provide outstanding customer service within the Student Records Team

In line with financial regulations be responsible for the correct invoicing/cash payments processed daily.

Awareness of governmental and other developments in further education especially funding methodologies, audit guidelines and inspection regimes and their impact on data collection, processing, reporting and college deadlines and timescales.

Undertake a range of roles using the document management/helpdesk system within student records to ensure service level agreements are maintained and contractual timescales are monitored.

To fully utilise College MIS systems to extract data and relevant for business purposes.

To provide clear lines of communication and outstanding customer service by working closely with appropriate Curriculum staff, cross-College departments and the management team.Ensure effective administration in a timely manner using College systems.

Qualifications required

GCSE or equivalent Maths and English Language grade C or above or willingness to work towards

Willingness to work towards NVQ Business Administration Level 2
