Detailed Job Description

Duties and Responsibilities

- Maintaining personnel files and records, including filing and photocopying relevant papers

- Opening post for the department and distributing as required

- Ordering and maintaining stationery supplies

- Assisting with inputting data, preparing and producing data from databases and other electronic or manual sources, maintaining accurate electronic records

- Assisting with checking and monitoring specific data, such as sickness absence certificates and leave of absence requests and inputting information as required onto the iTrent HR system, and in any other spreadsheet or recording system as required

- Preparing and issuing standard letters such as offer letters, resignation letters and reference requests in conjunction with colleagues

- Assisting the HR Administrator to respond to telephone helpdesk and mailbox e-mail queries

- Advising and guiding managers and staff as appropriate on the College’s HR policies and processes, referring to the HR Business Partner as required

- To assist the HR Administrator in providing administrative support to the recruitment process, including responding to recruitment enquiries and maintaining records of applications sent and received, preparing paperwork for interviews, liaising with candidates and College staff to ensure the smooth operation of the interview process

- Calculate annual leave entitlements for managers and staff

- Liaison with payroll for starters and leavers

- Arrange room bookings for meetings, interviews and events

Requirements and Prospects

Qualifications required

- As this is an apprenticeship role, you will need at Least 5 GCSEs or equivalent at 4-9 or A to C grade and must include maths, English & ICT

- Willingness and ability to undertake training and study to achieve CIPD Level 3 qualification within a reasonable period

Skills required

- Computer literate, especially competent using Word, Excel and databases

- Able to prioritise workload

- Able to organise and work methodically

- Able to work as part of a team

- Able to liaise professionally with people of all levels, from Senior Managers to members of the public

- Able to deal with confidential information and to discuss sensitive issues confidently

- Able to work flexibly within core business hours

- An interest in pursuing a career in Human Resources

- Willingness and ability to travel between College sites
