Detailed Job Description

  • Book in patients and visitors in line with practice appointments and visitors procedures.
  • Respond and/or redirect all patient and visitor requests accordingly.
  • Ensure computerised appointment system is up-to-date.
  • Booking, amending and cancelling patient appointments.
  • Set-up of new patients onto the computer system.
  • Process and distribution of completed prescriptions.
  • Answering incoming telephone calls, ensuring calls are documented and redirected accordingly.
  • Provide advice to less experience colleagues.
  • Ensure outstanding enquiries are explained and handed over to the next shift as necessary.
  • Provide medical information to patients using practice guidelines.
  • Record and charge patients appropriately for private work.
  • Process incoming/outgoing mail.
  • Providing clerical assistance to practice staff as required, including data processing, filing, photocopying and scanning.
  • Monitoring of stationery and other supplies.
  • Opening/ locking up of practice premises and maintaining security in accordance with practice policy.
  • Ensure fax machine is operating correctly and prior to close of Practice in the evenings/weekends has adequate paper supply.
  • Ensure phone system is on “call taking” mode and closed at the end of the working day and that the pre-recorded message is up to date.
  • Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes) in an accurate and secure manner
  • Ensure the scanning and electronically filing of patient information is carried out inline with procedures.
  • Work safely at all times in accordance with Legislative requirements and Practice Policy and Procedures.
  • Work across multiple sites will be required.
  • Keep up to date with current training

Requirements and Prospects

Qualifications required

Ideally a minimum 4 GCSEs C and above Including Maths, English and ICT (or equivalents).

  • Reliable and presentable individual who is eager to learn in a customer facing environment which is very fast paced.
  • Full training will be given to the right candidate

Personal Qualities

  • We would like individuals who have a good work ethic, able to maintain patient confidentiality and a willingness to learn new systems and processes.
  • These roles will require the successful candidates to work across the sites as and when needed.

Future prospects

Upon completion of the apprenticeship, this company will be looking to keep the apprentice on full time. There will also be the potential to progress onto higher level apprenticeships.

Training provided

Full on-the-job training and support will be provided to enable the successful applicant to undertake the full range of duties required of the role.

In addition, training will also be provided towards the Apprenticeship in Business administration LEVEL 3 through in-house delivery.

The Qualification consists of the following:

  • Business administration LEVEL 3
  • Technical certificate
  • Employment Rights and Responsibilities
  • Functional Skills in Literacy and Numeracy (if relevant)
