Detailed Job Description

Administrators are involved with the co-ordination and implementation of office procedures and may have responsibility for specific projects and tasks, and in some cases, oversee and supervise delegated duties to others.

The role can include many of the following:

  • Using a variety of software packages such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc.
  • To produce correspondence and documents Maintain presentations, records, spreadsheets and databases.
  • Supporting legal professionals with the administration of Immigration matters.
  • Attending Court within Leicester and around the UK e.g. London, Birmingham.
  • Support the Practice Manager with day to day aspects of running the firm.
  • Support the Accounts team with debt management recovery, finance admin etc.
  • Supporting legal professionals in other aspects of law.
  • Taking enquiries over the phone and other Reception duties.
  • Copy typing and audio typing letters memos other documents for staff & management.
  • Devising and maintaining office systems.
  • Using content management systems to maintain internal databases.
  • Attending meetings, taking robust minutes and keeping notes.

Requirements and Prospects

Qualifications required

  • GCSE in Maths & English at Grade A*-C or equivalent

Skills required

  • Good organisation skills.
  • Good time management.
  • Prioritise tasks to meet multiple deadlines.
  • Flexibility in your approach to ways of working and meeting deadlines.
  • Commitment to study and work.
  • Understand the implications if mistakes are made.
  • Good communications skills, both written and verbal.
  • Discretion (Compliance to the Data Protection Act 1998.)
  • Confidence with IT and computer packages.
  • Accuracy and good attention to detail.
  • An ability to stay calm and tactful under pressure.
  • Self-motivation.

Personal Qualities

  • Recent experience in providing administrative services within a computerised environment.
  • Recent copy typing and file management skills.
  • Good customer service skills.
  • Answering the telephone and politely dealing with queries.
  • Assisting clients to positive outcomes.
  • Understanding the importance of working in a legal practice.
  • Ability to communicate effectively with team, staff and clients.
  • Ability to update the law firms social feeds i.e. Internet, Facebook, Twitter.
  • Ability to initiate innovations and improvements to service delivery.
  • Excellent interpersonal skills and must be willing to be flexible in meeting the needs of the firm.
  • Positive can do attitude towards service delivery.
  • Must be willing to use and maximise the use of ICT.
  • Must be able to work on own initiative with minimum supervision.
  • Numeracy and financial skills (GCSE Maths grade A/C or equivalent.)
