Detailed Job Description

To be able to act as first point of contact for all telephone and visitor enquiries, giving advice and assistance where possible and ensuring sufficient and accurate information is recorded and relayed to relevant staff.

The office is the central point of contact for the school and all services provided, which include stationery requests, incoming/outgoing mail. Ensure all phone calls and visitors receive prompt, efficient and courteous service in line with the school policy

Act as an administrative support for the School`s Admin Team including data inputting, collating statistics, day to day typing, photocopying plus creation of posters, tickets, brochures and filing.

Prepare rooms for meetings, organising refreshments.

Ensure health and safety procedures are followed by visitors, children and staff at all times.

To receive and administer cash or other forms of payments ensuring documented procedures are adhered to at all times.

Adhere to Apprenticeship training programme with Brockenhurst College.

Maintain awareness of all School Policies and Procedures affecting the Reception area, ensuring compliance at all times including Safeguarding and Child Protection.

Any other duties that may be requested from time to time by your line manager which may not be in the job description but which reflect the general nature of the post.

Requirements and Prospects

Qualifications required

GCSE or equivalent in English and Maths

GCSE ICT or equivalent

Grades A-C or Grades 4-9 accepted for the above subjects

Skills required

IT Skills in Word, Excel and Publisher.

Working within a team environment and individually in order to reach team and business goals- desirable.

Comfortable working to strict time limits, guidelines and policies-desirable.

Comfortable dealing with young children.

Personal Qualities

Excellent communicator, both oral and in writing.

Motivated and able to use ones owns initiative.

Committed to providing a high quality service to all internal and external customers.

Confident, professional and calm manner at all times, even under pressure.

Must be a flexible team player with a sense of humour.

Future prospects

We may look to expand the role into a full time permanent position for the right applicant. It may be possible to apply for various positions within the organisation if such opportunities arise.

Additional Information

Training provided

RQF Certificate in Customer Service Practitioner standard with EPA of Highfield and Apprentikit resources, including work based visits from College tutors and some College workshop attendances and distance learning, blended learning resources

Employer to provide mentoring and provision of 20% off the job training Health and Safety and Safeguarding policies and GDPR

DBS check will be required.
