Detailed Job Description

Main Purpose of the Job

  • To provide efficient, confidential, administrative and clerical support to the whole school using a range of systems
  • To offer an efficient response to all visitors to the school and deal with internal and external telephone queries in a courteous manner
  • Act as first point of contact with the school filtering enquiries as appropriate and taking and passing on messages when necessary

Main Duties

  • Answer the telephone, deal with visitors, staff and pupils and deliveries
  • Reprographics for the schoolAssist with sending debt letters to parents
  • Assist with inputting EYFS Admission Forms in the School’s Database – SIMS
  • Assist with updating Pupil Contact Details (Data Collection Sheets) into SIMS
  • Create a monthly Newsletter for Staff, Parents and Governors using Publisher
  • Create Flyers and Posters for events
  • Create Computerised Advertisements for the School’s Main Entrance – Power Point
  • Update and Replenish Main Entrance Information i.e. Lunch Menus, Term Dates etc
  • Update Notice Boards, Posters and Information etc around School
  • Create and Update Medical Information for School, Staff and Kitchen Staff
  • Liaise with other Agencies such as School Health, Education Welfare Services often dealing with matters of a highly confidential nature. Manage procedures for visits to the school by External Agencies
  • Administer authorised medication to Pupils in line with the School’s Medical Policy (when necessary), keep records and liaise with Parents if required
  • Make contact with Parents / Carers or Emergency contacts during the school day as need arises
  • Distribute incoming mail to relevant persons
  • Ensure correct postage is used on all outgoing correspondence and take to the Post Office
  • Basic Filing Work closely as a team with the Admin Team and School Business Manager
  • Any other duties which are reasonable commensurate with the post.

Requirements and Prospects

Qualifications required

  • Maths GCSE (or equivalent) Grade C or above
  • English GCSE (or equivalent) Grade C or above
  • Experience of internet use
  • Experience of keyboard skills
  • Working in a busy office environment would be desirable but not essential

Skills required

  • Reception and telephone skills
  • Filing
  • Knowledge of Microsoft Word and Desktop Publishing skills
  • Reprographic experience

For the right candidate, there is the potential to secure a full time, permanent position within the company, upon completion of the apprenticeship.

Additional Information

Training provided

Level 2 Apprenticeship in Business and Administration. There will also be the chance to obtain Functional Skills in Mathematics, English and IT if required.
