Description
Main Purpose of Job:
- To provide clerical support within the administration team and other wider admin support across the school as directed.
Duties and Responsibilities:
- To undertake typing/word processing of correspondence, standard letters, reports, publications and other documents as required by the Business Manager and the wider admin team.
- To undertake photocopying and document collation as requested.
- To undertake filing in accordance with the established systems as requested.
- To work within and maintain all school established administrative systems and procedures.
- To input new and updated information on the school’s computerised system for students’/staff records, and ensuring all records are maintained and up to date.
- To assist in the production of reports, lists and other information relating to students’ records as requested.
- To welcome visitors to the school, ensuring signing in procedures are followed, receiving and prioritising incoming telephone calls, dealing with them appropriately including accurately recording messages as required.
- To liaise with staff, governors, students, parents and outside agencies as and when required.
- To open, sort and distribute incoming mail to the school in a timely manner, as required. To send, receive and distribute emails in a timely manner.
- To assist the admin team with input on social media. (Website, Facebook, Twitter).
- To attend meetings as required.
- To assist the office team in the collection of receipts relating to payments made by the school and the issuing of receipts for payments made to the school.
- To assist in the production of reports and statistics as required.
- To assist in the stock-taking and replenishment of stationery and miscellaneous stocks as directed.
- To remain aware of and work within all relevant school working practices, policies and procedures.
- To be aware of and work in accordance with the school’s child protection policies and procedures and to raise any concerns relating to such procedures which may noted during the course of duty.
- To maintain at all times the utmost confidentiality with regard to all financial reports, records, personal data relating to staff and other information of a sensitive or confidential nature acquired in the course of undertaking duties for the School.
- To be aware of and adhere to applicable rules, regulations, legislation and procedures including the Equal Opportunities Policy, Disciplinary and Grievance Policies, and Code of Conduct, national legislation (including Health and Safety and Data Protection).
- The post holder is responsible for their own self-development on a continuous basis, undertaking training as appropriate.
- To undertake other duties appropriate to the grading of the post as required.

- Day 8 Project development (½ day): Identification of project; Developing business case; Developing project plan. Health and Safety. Legislation requirements.
- Day 9 Project development (½ day): Reviewing project progress; Developing project. Study ½ day. Apprenticeship Assessment/ Programme Review visit at workplace.
- Day 10 Presentation skills:Project review; Presentation skills; Presentation software.
- Day 11 Project presentations. Learner project presentations to employer audience. *Presentation of certificates for unit examination achievements.* Time/duration dependant on cohort group size.
