Description

  • You will be expected to develop the skills to provide a comprehensive and effective administrative service to support the teams within the Clinical Governance Department.
  • This will at times involve access to distressing and sensitive information.
  • You will be required to work as part of a team, communicating effectively and courteously with a wide range of internal and external personnel.

KEY RESULT AREAS

  • To provide the Clinical Governance Department with administrative support i.e. filing, scanning, photocopying, typing etc.
  • To work closely with members of the team to enable them to effectively deliver all aspects of the service.
  • To support the committee administration service by arranging meetings, sending appointments, booking meeting venues, printing papers and attending committee meetings to take minutes, all with the close support and guidance of the administration team.
  • Input, retrieve and collect data and information using departmental and Trust computer systems.
  • Deal with face to face or telephone enquiries, convey messages and transfer calls as necessary whilst maintaining confidentiality at all times.
  • To be responsible for receiving and processing of outgoing mail, incoming and outgoing telephone calls in accordance with Trust policies.
  • To communicate effectively and liaise with other professionals in a clear, concise and professional manor.
  • To ensure effective organisation of own work, in particular ensuring the timely response to requests for information or support.
  • To maintain a suitable office and working environment for team members, including filing and archiving documents, keeping stationery supplies ordered and accessible, distributing internal post, and requesting assistance from Cornwall IT Services, Estates or Hotel Services if required.
  • To request patients’ notes and tracer them on PAS as required: identify location, request access to notes and respond to requests from other departments.
  • To act as an ambassador for the department and promote its services.
  • To act as an ambassador for Apprenticeships and participate in events.
  • To undertake statutory training as required in accordance with Health and Safety regulations and the Trust’s policies.
  • To ensure that security in the work environment is maintained, locking doors and windows, challenging unknown persons who enter the work area and by wearing the Trust identity badge at all times whilst at work.
  • To achieve the Intermediate Level 2 in Business Administration Apprenticeship(Functional Skills, NVQ and Technical Certificate) within the specified time frame.
  • Attend all of the training sessions for the programme, whenever necessary.
  • Undertake any necessary written work at home during the length of the course.
  • Any other duties as deemed appropriate by senior staff.

  • Day 5 Business awareness and change: Business structures and models; External and internal factors that may impact on a business; Goals, objectives and how these align with strategy; change implementation.
  • Day 6 Equality and Diversity: Understanding equality and diversity; Benefits of E&D; Legal implications. Apprenticeship Assessment/ Programme Review visit at workplace.
  • Day 7 Teamwork: Developing good work relationships; Making a positive contribution to the business; Dealing with conflict.
  • Day 8 Project development (½ day): Identification of project; Developing business case; Developing project plan.Health and Safety. Legislation requirements.
  • Day 9 Project development (½ day): Reviewing project progress; Developing project.Study ½ day. Apprenticeship Assessment/ Programme Review visit at workplace.
  • Day 10 Presentation skills:Project review; Presentation skills; Presentation software.
  • Day 11 Project presentations. Learner project presentations to employer audience. *Presentation of certificates for unit examination achievements.* Time/duration dependant on cohort group size.

The post-holder must comply with all RCHT Policies and Procedures. The post-holder must work within infection control guidelines to ensure that work methods do not constitute a risk of infection either to the health care professional, to the client or to any persons working / visiting in RCHT premises.
