The primary role of the apprentice is to support the Front of House team with meeting room lay outs, furniture set ups, and the provision of AV and technical support for client and internal meetings and training sessions. Also to assist the Facilities and MIS teams in the planning and implementation of office moves and other ad-hoc cover/ assistance.

Detailed Job Description

  • Monitoring Hospitality Suite on a weekly / daily basis for room lay outs, furniture and AV/conference room equipment set ups.
  • Liaising with the Front of House Manager on a weekly / daily basis in the coordination and planning of room lay outs, furniture and AV/conference room equipment set ups.
  • Setting up and taking down of furniture and light equipment in the client and internal meeting rooms, and the Lower Ground training room.
  • Setting up and taking down AV/conference room equipment in the client and internal meeting rooms, and the Lower Ground training room.
  • In-room technical support for external and internal clients.
  • Assisting the Facilities team with reactive Helpdesk requests
  • Assisting set-up and the monitoring of video conferences (training will be given).
  • Digitally drawing room set ups using Visio for the 8th floor divisible room.
  • Logging and reporting faulty or equipment issues to the Front of House Manager, Facilities and MIS Helpdesk teams, as appropriate.
  • Weekly visual maintenance inspections of the client and internal meeting rooms, and the Lower Ground training room.
  • Ensuring meeting rooms are left clean and tidy, reporting any maintenance, general decoration or cleaning issues to the Front of House Manager and the Facilities team.
  • Weekly visual inspections of the visitor offices, reporting any maintenance or equipment issues to the Front of House Manager, Facilities and MIS Helpdesk teams, as appropriate.
  • Preparing visitor offices (clearing desks and storage, providing stationary and setting up equipment) for overseas visitors to the London office.
  • Assisting with office moves (this may involve weekend work).
  • Acquiring a knowledge of basic Front of House procedures and processes.
  • Assisting with Skype meeting setups
  • Assisting external client meetings with laptop and presentation connectivity
  • Other ad-hoc duties and assistance as required for the Front of House, Facilities and MIS Helpdesk teams.

Requirements and Prospects

Qualifications required

Essential:

  • 5 GCSE grades A to C or equivalent are essential, specifically Maths and English.

Desirable:

  • NVQ Level 1 or equivalent in a Business or Admin related subject

Skills required

Essential:

  • Good computer literacy (Microsoft Office, internet, email etc)
  • Being able to learn new skills quickly
  • Awareness/knowledge: the importance of providing excellent customer service
  • Confidence to use modern business equipment such as multi-functional copiers and fax machines

Desirable:

  • Any admin related experience (whether gained in employment or through voluntary work)
  • Experience with Microsoft Word, Outlook 2010
  • Experience with Interwoven DeskSite, Excel and Visio

Training provided

  • Job-specific training through working alongside experienced staff will be provided
  • A combined competency and technical qualification to demonstrate you have the skills required to carry out the job, as well as to provide education. Competency is assessed by breaking down the contents of the jobs within your specific occupation into tasks called units of competences and will be measured through observations, assessments and witness testimony. The technical units are assessed through written assignments and online assessments.
  • Functional Skills (Literacy, Numeracy and IT) Dependent on your prior attainment you may need to be assessed in literacy, numeracy and ICT skills which are an integral part of your apprenticeship. Upon successful completion you will be awarded additional certificates of recognition.

Your academic and competency training will be through CILEx Law School. CILEx Law School provide effective and accessible training for a wide range of professional and vocational legal and business admin qualifications. Its emphasis is on quality, innovation, and flexibility in course delivery, coupled with excellence in customer service. CLS is wholly owned by the Chartered Institute of Legal Executives, and has been delivering legal training for 30 years.

If you are required to commute, then please carefully consider the associate cost and time spent before applying for this role. This is a monthly paid post and you are required to work a month in hand. You will be entitled to receive 25 days annual leave, rising to 28 days per year with each year of service. The salary will be £18,000 per annum dependent upon age and qualifications. You are responsible for funding your own travel to and from your place of work. You must conduct yourself in a safe and diligent manner and comply with health and safety policies and procedures. You must uphold and promote the company policies and procedures, promoting those specifically to your area of work, including Equality and Diversity and Safeguarding.
