Purchasing Executive Apprentice

The Purchasing administrator is responsible for checking every vehicle invoice received and processing these. Chasing any outstanding invoices from the dealerships and dealing with any queries that come up. They will also be a support to the deliveries team with general day to day admin tasks.

Detailed Job Description

This role is office based in Leeds and requires attention to detail and the ability to work both independently and as part of a team. Purchasing is a very busy team and this role will involve speaking on the phone and communicating via email to both car dealerships and other departments in the business. The Purchasing Executive needs to be confident and professional in both.


  • Processing vehicle invoices- ensuring they match the customer’s quote and dealing with any queries that arise from this.
  • Chasing outstanding invoices to ensure everything is processed in a timely manner.
  • Supporting the deliveries team with general admin duties.
  • Answering queries in our internal email system.
  • Working closely with account management teams to ensure they are kept up to date with all queries relating to new vehicle invoices.
  • Supporting the team with any other ad-hoc work when needed.
  • Potential to be involved in supplier management and performance review meetings with suppliers

Requirements and Prospects

Qualifications required

  • 5 GCSE C and above Maths and English essential (or equivalents)

Skills required

Excellent customer service skills

Methodical with a good eye for detail

Strong Microsoft Office skills

Good level of spelling and grammar

Additional Information

Training provided

Full on-the-job training and support will be provided to enable the successful applicant to undertake the full range of duties required of the role. All apprentices are required to complete and evidence 20% of the job learning whilst on their apprenticeship.

In addition, the apprenticeship will be delivered primarily on our online platform, Babington Online and you will receive full support from our dedicated team of Training Advisors via workshops, webinars and regularly scheduled reviews, conducted by Skype and/or Phone.Our Business Administration Level 3 Programme consists of the following:

  • Business Administration Level 3 Standard
  • Functional Skills in Literacy and Numeracy Level 2
  • End-point Assessment conducted by an external provider (Presentation or project, interview and knowledge test)

The end-point assessment is designed to enable apprentices to demonstrate that they are fully conversant in the skills knowledge and behaviours expected of individuals at this level. It is designed to provide assessors with a holistic view of the apprentice, and to allow them to assess to what extent the apprentice meets or exceeds the apprenticeship standard.
