This vacancy will be based in a busy office and showroom and will include all aspects of office administration e.g. data entry, answering the phone and maintenance of general office systems. The successful candidate will be given the opportunity to gain experience in accounting systems and general customer service and fully supported to explore additional areas depending on where their interest lies. The success of our business is not only down to the quality of the products we supply and the skills of our team of installers, high quality office support is key to keeping all our plates spinning. The role will be designed to allow experience in all aspects of working within a modern office environment, using the basic skills this type of work involves. It would also allow someone working with us the opportunity to stretch themselves and undertake more tasks and responsibilities as their skills and confidence increases and the hourly rate would rise accordingly to reflect this.

RK Doorsystems is a family run business with a head office and showroom in Truro where the successful applicant would be based – we also have showrooms in North London, Crawley and Leicester. We supply and install powder coated box section aluminium front entrance doors which are constructed from German components and assembled in Poland. Our products are ‘high end’ and the service we provide needs to reflect the quality and cost of the products Attendance at shows such as Grand Designs is a key feature of how we promote our products and the back office support for these events is crucial to ensure all aspects run smoothly. As a company we are continually looking to expand our customer base using new dealerships and also the range of products we supply including video doorbells and biometric entry systems to ensure we stay ahead of our competitors.

Detailed Job Description

The candidate will work closely with our office manager who will actively support and encourage them to achieve their full potential within this role. No two days will be the same – whilst there are basic tasks that need to be completed as per the list below, we need to undertake whatever is required at the time.

Duties would include:

  • Answering the telephone and dealing with customer enquiries
  • Production of delivery notes and order confirmations
  • Maintaining the spreadsheet which co-ordinates orders, payments and deliveries
  • Basic data entry to ensure all our systems remain accurate and up to date
  • Booking accommodation for delivery drivers and for show events Co-ordinating deliveries and planning the drivers route
  • Maintaining filing systems, creating files for new orders , scanning and saving delivery notes archiving files once complete
  • Taking card payments over the phone and registering these accordingly
  • Producing invoices and statements
  • Ordering supplementary products such a post boxes and organising their dispatch on arrival

Requirements and Prospects

Qualifications required

GCSE in English and Maths at C/4 or above

Skills required

  • Computing and typing skills
  • Use of Word and Excel Flair for using your initiative and multi tasking

  • Day 1 Recap key messages from induction on how to successfully complete the apprenticeship. Employee Rights and Responsibilities. Learner will develop an understanding of the role of organisations and industries, as well as gaining an understanding and awareness of employer’s expectations and employees’ rights and obligations.
  • Day 2 Managing personal performance and development: SMART targets; Professional development; Career development goals; Work-life balance; Feedback; Learning styles; Time management.
  • Day 3 Communication in a business environment: Clear, effective and professional written, verbal and non-verbal communication. Apprenticeship Assessment/ Programme Review visit at workplace
  • Day 4 Customer service and Sales: Maximising sales (upselling & cross selling); Sales techniques; Feature and benefits; Needs and expectations; Brand promises; Service offer; Service knowledge; Equality and Diversity.
  • Day 5 Business awareness and change: Business structures and models; External and internal factors that may impact on a business; Goals, objectives and how these align with strategy; change implementation.
  • Day 6 Equality and Diversity: Understanding equality and diversity; Benefits of E&D; Legal implications. Apprenticeship Assessment/ Programme Review visit at workplace
  • Day 7 Teamwork: Developing good work relationships; Making a positive contribution to the business; Dealing with conflict.
  • Day 8 Project development (½ day): Identification of project; Developing business case; Developing project plan.Health and Safety. Legislation requirements.
  • Day 9 Project development (½ day): Reviewing project progress; Developing project.Study ½ day. Apprenticeship Assessment/ Programme Review visit at workplace
  • Day 10 Presentation skills:Project review; Presentation skills; Presentation software.Day 11Project presentations. Learner project presentations to employer audience. *Presentation of certificates for unit examination achievements.* Time/duration dependant on cohort group size.

The first salary review will be after 8 weeks and incremental increases at regular intervals up to minimum wage will be completed as competency increases. All work will be based in our Truro office.
