You will be working in both the Administration and Finance aspects of the business, developing a well rounded knowledge of both sectors.
Your duties will include:
Finance Duties:
Administration of expenses and dealing with expenses.
Supporting the London office with all finance related work.
Accounting for supplier purchases and sub-contract orders.
Resolution of supplier / sub-contractor ongoing queries.
Raising and dispatch of sales invoices.
Chase any missing invoices.
Prepare VAT Statements and take scanned copies.
Prepare invoices for clients.
Chase deposits on apartments for expats and catenary staff.
Archiving all invoices/bank statements and expenses.
ITESoft for approval - scan and upload all invoices on system.
Update accommodation of building profile on Achilles.
Administrative Duties:
Book medical and drugs and alcohol test for employees when required and inform employee of their appointment.
Update staff database for both current and former employees – basic information.
Follow up of annual leave, sick days, absences entitlement.
Assist HR Manager and HR Communications Officer in archiving both hard copies and digital.
Conduct check-out for accommodation (liaise with cleaning company).
Assist with PPE orders and stock monitoring, liaise with suppliers, retrieve quotes and follow up with purchase deliveries.
Assist with office maintenance (organise repairs and obtain quotes from suppliers).
Contact Office providers when needed (CCTV, Alarm intruder, fire, locksmiths, order key fobs).
Prepare purchase orders for office furniture and track stock for office supplies.
Prepare order sheets for Kitchen supplies and Cleaner supply (monthly stock takes).
Sort mail for the office (receive, post, sometimes write).
Submit meter readings online for the 10 accounts of the office.
