Business Administrator Apprentice

The post holder will become fully conversant and competent in providing administrative support within the office. The post holder will be the first point of contact for visitors and members of the public and therefore the person must demonstrate a high level of customer service skills and promote the school in a positive manner, whilst maintaining a warm and welcoming environment. The post holder must be able to use their own initiative in dealing with enquiries by telephone and face to face from visitors. The post holder will be accountable for the adherence of a number of policies in relation to stationary ordering, room booking and management of similar facility related activities.

Detailed Job Description

Training will involve working alongside current administrative staff and working under supervision.

Core Duties:

  • To meet and greet all visitors. This will include signposting to the appropriate area and arranging hospitality.
  • To maintain cover on reception at all times and ensure all calls received are dealt with in a pleasant and helpful manner.
  • To answer transfer calls, take messages and pass on details to the relevant person/departments.
  • To provide general office and administrative support services. This includes typing, data inputting, filing, photocopying, scanning and facsimile.
  • To operate a computer using Microsoft Office, including spreadsheets, databases, email and word processing.
  • To receive and distribute all daily post, faxes and be responsible for ensuring outgoing post is sent out.
  • To take booking for meetings/appointments– ensuring meetings are arranged as required and the appropriate equipment is available if required.
  • To monitor general office supplies levels and order stock as required. Receiving, checking and distributing the stock as necessary e.g. To ensure that photocopiers are well stocked with paper, toners as necessary and liaising with the company for supplies and repairs.
  • Under supervision produce accurate letters, minutes, reports and maintain databases etc. as required.
  • To develop and maintain administrative systems, including bringing forward files, manuals and electronic filing systems; ensuring systems are effective in their use and reviewed regularly.
  • To carry out all other appropriate delegated duties as required
