They are looking for a Business Administrator with an option to progress on to the Paralegal Apprenticeship.

Detailed Job Description

The successful candidate will be involved in:

  • Sorting and distribution of incoming/outgoing mail
  • Handling of incoming/outgoing courier deliveries
  • Collection and input of monthly information into databases and spreadsheets
  • To monitor incoming emails and action accordingly
  • Ensuring that stationery deliveries are properly distributed
  • To participate in any on-site health and safety audits and assessments
  • To carry out any other reasonable request made by your line manager
  • Handling commercially sensitive/confidential information (via email, documents, files etc.)
  • Demonstrating excellent customer service skills
  • Maintaining strong working relationships with other employees
  • Must be able to communicate effectively with people
  • To prepare mail and enclosures for dispatch by email or post.
  • To administer electronic and paper filing which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the firm’s procedures
  • Sharing in general office duties; post opening; dealing with clients and others on the telephone both in taking detailed messages and in progressing the case wherever possible.
  • Reception duties including taking of external telephone calls to be recorded in writing as typed attendance note showing start and end times of all calls.
  • To make appointments, arrange meetings and to maintain any diary entries as required.
  • To provide support to other staff as required.
  • To attend clients and potential clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firm’s standards for client care.
  • To ensure the confidentiality of all the firm’s and clients’ documentation and information taking into account the Data Protection Act 1998.
  • To undertake conflict of interest checks in respect to any potential clients.
  • To create typed documents as required.
  • To undertake specific training associated in progressing the apprenticeship, and such other training as required by the firm to fulfil the role.
  • To have a responsibility towards self-development.

Requirements and Prospects

Qualifications required


  • 8 GCSE grades A to C or equivalent are essential, specifically Maths and English.


  • 3 A-levels at grade C or above

Skills required


  • Strong computer literacy (Microsoft Office, internet, email etc)
  • Being able to learn new skills quickly
  • Awareness/knowledge: the importance of providing excellent customer service
  • Confidence to use modern business equipment such as multi-functional copiers and fax machines


  • Any admin related experience (whether gained in employment or through voluntary work)

Training provided

  • Job-specific training through working alongside experienced staff will be provided
  • A combined competency and technical qualification to demonstrate you have the skills required to carry out the job, as well as to provide education. Competency is assessed by breaking down the contents of the jobs within your specific occupation into tasks called units of competences and will be measured through observations, assessments and witness testimony. The technical units are assessed through written assignments and online assessments.
  • Functional Skills (Literacy, Numeracy and IT) Dependent on your prior attainment you may need to be assessed in literacy, numeracy and ICT skills which are an integral part of your apprenticeship. Upon successful completion you will be awarded additional certificates of recognition.

  • Personal Learning & Thinking Skills (PLTS)

CILEx Law School provide effective and accessible training for a wide range of professional and vocational legal and business admin qualifications. If you are required to commute, then please carefully consider the associated cost and time spent before applying for this role. This is a monthly paid post and you are required to work a month in hand and you will be entitled to receive statutory minimum annual leave. The salary will be the National Minimum Wage dependent upon age. You are responsible for funding your own travel to and from your place of work. You must conduct yourself in a safe and diligent manner and comply with health and safety policies and procedures. You must uphold and promote company policies and procedures, promoting those specifically to your area of work, including Equality and Diversity and Safeguarding.
