Detailed Job Description

Job Purpose:

  • Throughout the apprenticeship the post holder will gain experience working in the sales ledger, purchase ledger and technical teams within Financial Services.
  • The successful candidate will develop the required skills to assist in the day to day operation of the Financial Services section ensuring the delivery of a consistently high quality service to the Trust.
  • To provide support to Technical Accounts.
  • To ensure that all Debtors cash received into the organisation is allocated correctly.
  • To actively assist in the recovery of income due to the Trust.
  • To assist in compliance with Better Payment Practice and the NHS Cash Management Policy.
  • To enter invoices onto the E-Financials computer system.To register Stand alone invoices for which an official order has not been placed and obtain certification for payment from an authorised signatory.
  • You will achieve an intermediate level 2 apprenticeship in Association of Accounting Technicians (AAT) within 12 months.

Key result areas:

Patient / Client care

  • Assists in dealing with patients and/or relatives/next of kin in relation to patient monies/ property on a one to one basis in person, over the telephone or by letter.

Policy and Service Development

  • Expected to follow policies already established through Financial Procedure Notes but is required to suggest possible developments and changes to work within own area which may cause improved efficiency and effectiveness of the financial services department.

Financial and Physical Resources

  • To assist in the preparation of monthly and annual accounts
  • To open post for the Financial Services department and record cheques etc received in the cheque register
  • To assist with the entry of invoices on to the Purchase and Sales Ledger ensuring that VAT is correctly accounted for, discounts are taken and Invoices matched.

Human Resources

  • Conform to Trust policies, procedures and guidelines.
  • Comply with Dignity and Respect at Work Policy.
  • Comply with Health and Safety policies.


  • Attend training courses/sessions related to achievement of the apprenticeship outcomes.

Information Resources

  • To input financial data, into the computerised general ledger) in line with agreed timetables.

Research and Development

  • Required to assist in the update of financial information.
  • Undertake surveys and audits when requested, including the SFA annual learner survey.

Freedom to act

  • The post holder is expected to organise their daily workload within set routines.
  • Workload will be discussed regularly to ensure deadlines are achieved
  • Work with supervision close by Line manager, Apprenticeship Co-ordinator and Tutor/Assessor available for support and advice as required.

Requirements and Prospects

Qualifications required

  • 5 GCSEs including Mathematics and English at Level 2 (GCSE, grades 9-4 or A* - C


  • Functional/ Key Skills at Level 2),

Skills required

  • Good communication and time management skills
  • A good working knowledge of non-financial computer systems (e.g. Microsoft packages etc)

Personal Qualities

  • Ability to be able to work independently and as part of a team to ensure strict deadlines are adhered to.
  • Understanding of confidentiality
  • Able to work within set routines with little direct supervision
  • Ability to communicate with a wide range of individual groups

AAT Advanced Diploma in Accounting – Level 3

The Advanced Diploma in Accounting covers a range of complex accounting tasks, including maintaining cost accounting records and the preparation of reports and returns. You’ll learn and master a number of accounting disciplines including financial processes, advanced bookkeeping, final accounts and ethical practices for accountants.

  • The importance of professional ethics in the working environment
  • Use of spreadsheets to manage information in the accounting environment
  • Analysing variances
  • Reconciling ledgers
  • Making provisions for doubtful and irrecoverable debts
