Detailed Job Description

  • Ensuring that Fact Finds and the adviser’s meeting notes are fully and comprehensively completed and that all outstanding information has been received prior to passing to paraplanners for preparing any financial planning reports and suitability letters
  • Prepare report packs, including Adviser Submission Form and new business applications, ensuring legible and accurate forms are ready for all presentation meetings
  • Ensuring that on completion of business by the Financial Planner client files are complete and all relevant documentation enclosed before passing to New Business for submission
  • Obtaining the information necessary to compile an accurate cash flow forecast
  • Ensuring all meetings, enquiries and subsequent dealings with clients, introducers and product providers are conducted in a professional manner and comply with the company’s procedures
  • Completing all Ongoing Suitability Review forms including, GIA to ISA switch and fund switch processes
  • Preparing and completing Suitability Report templates
  • Contacting providers to obtain client and product information to ensure all is complete for a Paraplanner to write a report
  • Working collaboratively with paraplanners and administrators to ensure work in progress is completed in a timely fashion
  • To participate in the IFP Training & Competence Scheme and set regular personal targets with reference to feedback given and to participate in training sessions and meetings when requested or required by the company
  • To work with Financial Planners, other Paraplanners, Managers and Directors on other projects, from time to time as required
  • Maintaining a diary/reminder system for chasing outstanding information and tasks
  • Inputting and maintaining accurate client records
  • To complete all filing and scanning of documents and correspondence in line with company procedures
  • To maintain the professionalism of the firm at all times and act accordingly in all dealings with colleagues, clients, providers and visitors

Requirements and Prospects

Qualifications required

  • A Levels or BTEC qualification (or equivalent) is essential
  • Economics, Accounts, Business Studies would be an advantage

  • Excellent computer skills including Word and Excel
  • Excellent verbal and written communication skills
  • Good grasp of English language and Mathematical concepts
  • An ability to prioritise your workload and meet deadlines

Additional Information

Training provided

Full on-the-job training and support will be provided to enable the successful applicant to undertake the full range of duties required of the role. All apprentices are required to complete and evidence 20% of the job learning whilst on their apprenticeship. In addition, training will also be provided towards the Assistant Accountant Level 3 Standard through day release. Our Financial Services Administrator Level 3 Programme consists of the following:

  • Financial Services Administrator Level 3 Standard
  • Functional Skills in Literacy and Numeracy Level 2
  • End-point Assessment conducted by an external provider (Portfolio, project and panel interview)

The end-point assessment is designed to enable apprentices to demonstrate that they are fully conversant in the skills knowledge and behaviors expected of individuals at this level. It is designed to provide assessors with a holistic view of the apprentice, and to allow them to assess to what extent the apprentice meets or exceeds the apprenticeship standard.
