Vacancy Description  This post will involve providing administration, coordination and support for delivery of their portfolio of education programmes and related activities and resources. To fulfil coordinator duties with internal and external stakeholders, with high levels of professionalism, ‘customer’-focus and accuracy.  To work flexibly and collaboratively to support the maintenance and continual development of a high quality portfolio of education programmes, activities and resources. Proactive problem-solving. Adhere and comply with the provisions of the RCP’s Health and Safety Policy, all financial policies and data regulations. Undertake all duties and responsibilities in compliance with the rules and regulations encompassing equal opportunities. Work with senior managers to schedule teaching and assessment timetables and submission deadlines Be the first point of contact for enquiries, taking initiative to provide appropriate responses efficiently. With support from the senior managers, lead on the scheduling of facilitators, educationalists, tutors and VIP guest speakers, for lectures and educational events, as well as organising their travel, accommodation and course materials ahead of their sessions. Coordinate the delivery of teaching days including venue, catering and travel bookings, sending out participant information and registration details, registering delegates, meeting and greeting VIP speakers, being on call for student enquiries and assisting the course tutors. Liaison with facilitators, postgraduate tutors, course contributors, workshop participants and postgraduate students. Process the online bookings for training programme workshops including processing manual bookings where necessary, dealing with issues and enquires and assisting with team use Supporting the team to monitor and update the Customer-Relationship Management (CRM) systems Assist the lead tutors and external faculty to coordinate all course materials and produce printed delegate information Support the senior managers on the development and implementation of a communications plan for the training programme events, including attending events, social media, emails, web pages and other communications activities Support post-event evaluation and reporting, identifying, possible improvements and reporting these to senior coordinator to implement changes as necessary Schedule meetings, including preparing and distributing meeting agendas/ materials, and taking minutes Work as a team to maintain an accurate shared filing system - Work with the senior coordinator to update the folders continually Work closely with other members of the team to support other team activities, such as coordination of master’s-level education with university partners, where necessary

The remaining time will be spent on your workplace activity.
