Detailed Job Description

Duties will involve:

  • Providing support for incoming telephone calls, meeting and greeting visitors
  • Monitoring levels of stationery and promotional materials
  • Distribution of incoming and outgoing mail
  • General typing, occasional photocopying, laminating
  • Production of training certificates
  • Computer operations including saving work to server, using email to distribute information internally and externally, updating spreadsheets
  • Filing
  • Departmental holiday cover
  • Assisting other staff members as appropriate
  • Updating contact lists
  • Arranging different types of training including eLearning
  • Assisting with accounts such as expenses, invoicing and sales order processing.
  • O&M manuals
  • Writing blogs / newsletters
  • Client File Audits
  • Monitoring Lone Worker App
  • Customer Service Calls
  • Downloading Credit Card Data and preparing spreadsheets
  • Sorting & verifying Credit Card receipts
  • Processing Purchase invoices on Sage
  • Processing Sales Orders on sage
  • Scanning and filing Client agreements in Paperless system.

Requirements and Prospects

Qualifications required

Completed a broad education that preferably includes GCSE grade C or above in maths and English.

Skills required

  • Excellent organisation skills, self-motivated and able to use initiative
  • Flexible and able to prioritise
  • Clear and effective communication skills whilst working individually and as part of a team
  • Proficient experience of using a computer (in particular Word, Excel and Outlook)

  • Friendly and helpful disposition
  • Reliable and trustworthy

Training provided

Training will be provided via day release at Shipley College.
