Vacancy Description: As part of the IT Services team, the IT Administration Assistant is an important support role within the department. Key responsibilities include planning, organising and keeping track of meetings within the department, creating and distributing meeting documents, and assisting with IT purchases. This role is an ideal starting point for anyone with an interest in any aspect of the IT career landscape. The post holder will gain an insight into many of the skills, process and technologies widely used in most organisations. Customer Service Excellence:  Supporting efforts to deliver excellent service, taking calls and noting down details of information provided for sharing with the Service Desk Photo-copying/Scanning/Faxing of documents Maintaining an efficient laptop loan service to RCP colleagues, keeping track of loans and issuing receipts to those borrowed. Maintaining IT Services group SharePoint sites by ensuring record control and that documents are kept up to date. Overseeing the IT Services’ RCP Intranet pages, ensuring that the pages display current resources and helpful information about IT. Aiding the production and monitoring of the IT Asset Register and configuration management database, working with the IT team to keep record of devices, users and their locations Organisational and Administrative:  Organising meetings and meeting rooms Creating and distributing meeting agendas and taking notes during meetings Maintaining the IT Services department’s confidential document records Dealing with incoming telephone calls and making outgoing telephone calls as needed Dealing with incoming and outgoing post & deliveries Ensuring that monthly one to one meetings are scheduled for all IT Services team staff    Procurement and Purchasing:  Maintaining all IT related contracts and agreements, ensuring that renewal dates etc. are advised Ensure that invoices are sent by e-mail to Finance for matching with PO’s and prompt payment Exceptionally, ensuring that invoices received directly without reference to a PO are properly authorised in IT and paid by Finance Ordering of stationery, IT consumables and other purchases for IT Liaising with suppliers of IT technical services, hardware and software, to place orders through the POP systems and follow through on orders placed Purchasing all mobile work phones for RCP colleagues, keeping an updated record of all issues, and liaising with the external mobile service provider Plus: Any other duties that are commensurate with the level of the post that are necessary for the professional operation of the IT Services department

Excellent Spoken and Written English Demonstrates a strong customer service-orientated approach Experience in an administrative support role in a busy, customer-focused environment Excellent planning and organisational skills, with the ability to prioritise workload according to importance and urgency Ability to demonstrate a high degree of accuracy and attention to detail in all written work Demonstrates good IT skills and a working knowledge of Microsoft products/software
Minimum B/5 in English GCSE  IT GCSE/A-level desirable Or equivalents
Approximately 3% of training takes place in the QA learning centre classroom. 17% is done in the workplace, through workplace units, face-to-face meetings with your QA Assessor, or developing your portfolio. The remaining time will be spent on your workplace activity.
