Description of Opportunity

Working in a busy, fast-paced and reactive environment, this position will report to the Facilities & Admin Manager for UK/Ireland. Supporting multiple UK office locations, we are looking for someone with a can-do attitude, willingness to get to the job done with good organisational skills and attention to detail.

Role responsibilities include but are not limited to:

  • Helping contractors, suppliers and visitors when they arrive to site including Covid-safe practices;
  • Issuing visitor/contractor badges, pool car keys, parking permits;
  • Filing, scanning, shredding, sending email updates;
  • Updating and maintaining spreadsheets to ensure accurate records for invoices, courier tracking, pool and hire car allocation, hot desk allocation, parking permits, cupboard stocks;
  • Ensuring Health & Safety and supplier certificates are recorded and displayed are required;
  • Organising on-site cupboards to ensure stock levels are maintained (e.g. PPE);
  • Create posters for internal charity or seasonal events;
  • Assisting Facilities Management team with ad hoc requests;
  • Shared Reception duties including: answering phone, greeting guests, post and courier, checking Facilities email inbox, dealing with general enquiries

  • Good communication skills (written and verbal)
  • Computer literate with good working knowledge of Microsoft Office

  • No previous qualifications are required for this role, however you must have completed your GCSE and be working with a good level of Maths and English.

Whilst the delivery of training and some of the content will be bespoke to employer’s needs, there are key elements that will be covered throughout. These will focus on the importance of:

  • Progression routes within the company may open up towards the end of the apprenticeship duration.

This role is based in the facilities department so at times can be hands-on.
