Description

  • Help manage and maintain an effective personnel record system, ensuring that filing and scanning is completed on a regular basis, so all files are kept up to date both manually and electronically and can easily be accessed by those as necessary
  • Maintaining attendance records as well as helping to ensure all absence processes are managed accordingly
  • Maintaining access systems to control employee presence within Graham House and London in line with Health & Safety and Fire Safety legislative requirements and monitor working hours
  • Assisting in the preparation of reports and collating information as required
  • Collating information for payroll purposes on a monthly basis
  • Supporting the recruitment process by arranging interviews, booking rooms, maintaining a record of direct applicants and communicating with candidates as required
  • Preparing information packs, including offers and maintaining induction packs
  • Assisting with the processing of new appointments and any changes to existing employment contracts.
  • Ensuring an applicant’s compliance and eligibility to work in the UK, where applicable
  • Process and record reference checks and track disclosure, where applicable
  • Organising meetings, minute taking and providing confidential administrative support where required
  • Fielding day to day enquiries on HR/payroll queries
  • Helping to maintain and develop employee performance by supporting annual performance appraisals and mid year progress checks to ensure all completed on a timely basis
  • Reinforces employee learning and development processes by ensuring all learning is evaluated and validated in order to improve performance as required
  • Providing guidance and learning support for employee management software users as necessary
  • Follows the agreed office administration and HR management plan and complete actions as necessary
  • Enhances professional and technical knowledge by attending legislative updates; reviewing professional publications; establishing personal and professional networks; participating in professional societies
  • Assisting with the updating and introduction of policies and procedures
  • Continuous review of management information systems, seeking ways of improving efficiency within the organisation in accordance with its goals and enhancing the reputation of the company by implementing new ideas and methods
  • Assisting with preparations for events as required
  • General administrative support including letters, reports, minutes, tables, graphs, schedules, etc
  • As required providing support to other departments and the executives as necessary


The annual salary is £15,000
