Description
Duties involve:
- Registering
invoices received by post and email, verify and code them
- To
ensure that all invoices or expenses requests are correctly calculated,
approved and coded
- Distributing
invoices to the budget holders for approval
- Prepare
electronic payments (in accordance with payment terms) for weekly payment runs
- Set
up new suppliers
- Confirm
change of bank details with suppliers
- Reconcile
supplier statements
- Handle
queries from suppliers and budget holders, both by email and telephone, quickly
and efficiently
- Assist
with staff expense claims and payments, ensuring expense claims comply with the
firm’s policy and service standards
- The
administration of Counsel and Expert Fees
- The
setting up of Direct Debits and Standing Orders from our Office Bank Account
- The
posting of all Direct Debits and the control of the Standing Journals
- Scanning
and filing, where necessary
- Create/
Amend and maintain procedures for all aspect of accounts payable and counsel
fees to fall in with current standards
- Posting
and reconciling transactions from credit card statements Account’s software
- Create
journals to reallocate coding of invoices to various nominals
- Create
and update spreadsheets to monitor budget spend with some suppliers
- Cover
and assist with cashiering duties where needed
