Description
Assistant Financial Accountant Apprentice (First 18 months)
Banking & treasury
- Monitor bank balances and update short-term cash forecasts.
- Monitor future needs for cash to ensure that all known liabilities can be met when due, whilst maximising balances held on deposit.
- Review daily all bank transaction data, highlighting entries to other staff as appropriate.
- Obtain authorisation in accordance with mandates for payments and transfers, transmit details to the bank and ensure instructions are actioned - includes treasury movements and payroll related payments.
Reconciliations
- Produce monthly bank reconciliations for all bank accounts/investments held. Follow up and clear aged reconciling items.
- Produce monthly balance sheet reconciliations for intercompany, Gift Aid, Fixed Assets, Direct debits.
- Clear all reconciling items within the above accounts, discussing the required action with staff Accounting entries.
- Prepare cashbook journals for treasury, payroll and gift aid.
- Prepare payroll journals.
- Assist with quarterly service charge journals.
Taxation and gift aid
- Lead the preparation of HRP monthly Gift Aid returns and assist with the submission of monthly Gift Aid returns to HMRC.
- Assist with the preparation and submission of quarterly VAT returns to HMRC.
- Assist with the production of the corporation tax computation and completion of the tax return for HRP and HRPE.
Fixed assets
- Contribute to the maintenance of the Fixed Asset Register, ensuring that accurate records are available and work in progress is capitalised on a timely basis.
- Produce, check & post the monthly depreciation charge Financial year/end.
- Assist with the preparation of the HRP and HRPE audit file & accounts to the agreed annual timetable.
- Deal directly with external auditors for queries on charity and trading accounts.
Other financial accounting activities
- Provide ad hoc support to finance accountants.
- To assist the Accounts Payable team with duties such as the invoice register, the supplier/customer database, queries and suppliers’ invoices payments.
- To assist the Accounts Receivable/Site Sales team with duties such as raising invoices and credit notes, receipting and allocating payment.
- To assist the Payroll team in duties such as calculating and issuing pay, deducting tax and NI, processing holiday, sick and maternity pay and expenses, plus calculating overtime and shift payments.
Assistant Financial Planning & Analysis Apprentice (Second 18 months)
Month End Processes
- Identify maintenance invoices in transit between the maintenance system (PLANET) and eFin across all palaces.
- Reconcile events due to take place (recorded in eFin) and events reported from the events system (KX) across all palaces.
- Update monthly yield analysis files and prepare the monthly visitor income reconciliation.
- Any other analysis as required by the management accountants to enable production of the month end accounts.
Post Month End
- Distribute monthly budget holder cost centre reports using Business Objects (BO) publications.
- Produce detailed costs centre payroll files using Excel macros on the main payroll file.
- Assist in collation and distribution of all department payroll reports.
- Update of F&E forward bookings graph (chase F&E Managers for monthly input and update).
Analysis
- Assist in analysis of account code transactions to help understand and identify essential expenditure in key departments.
- Start to develop SQL scripting and/Power BI and BO skills to assist with data extraction and analysis of retail and admissions systems.
Budgeting, planning and forecasting
- To assist the FP&A team with the formulation of both income and expenditure budgets on an annual basis (Operating Budget) and 3-year basis (Operating Plan).
- To analyse individual budgets for reasonable assumptions and accuracy of monthly phasing.
- To work with Financial Accountant in providing what is needed / and frequency of for accurate cash flow forecasting.
Financial year/end
- Assist with the preparation of the HRP and HRPE audit supporting/ back up documentation to the agreed annual timetable.
- Deal with internal auditors as required to provide information as requested.
- Deal directly with external auditors for queries on charity and trading accounts.
Other financial planning activities
- Provide ad hoc support to all members of FP&A team.
- Develop and understating of the workings of eFin and assist the eFin system administrator in maintaining the active user tables.
- To assist with advice, coaching and training to HRP employees to help improve financial knowledge across the organisation.

- Experience of an office environment, performing administrative, accounting or finance duties and working as part of a team (desirable).
- Experience in a bookkeeping role, performing ledger account reconciliation (desirable).
