Detailed Job Description

Location: nearest stations are Leicester Square and Oxford Circus station underground, London.

  1. EA responsibilities – all elements are in relation to the Health Unlimited Directors unless otherwise stated
    1. Manage and maintain the Director’s diaries, including setting personal reminders as and when required
    2. Conduct regular diary meetings with the Directors regarding engagements, invitations and other requests
    3. Work with finance team to manage Directors expenses
    4. Co-ordinate travel and accommodation requirements for the Directors
    5. Organise travel itinerary’s and ensure visa’s, ESTA’s etc. are up to date
    6. Complete expense claims on behalf of the Directors
    7. Filter general information, queries, phone calls, invitations and visitors to theDirectors, by redirecting, passing on messages, or scheduling appointments and be the first point of contact for all enquiries
    8. Facilitate time with team members, ensuring that diaries are managed effectively to ensure that people have access to the Board
    9. Prepare correspondence and proofread copy on behalf of the Directors
    10. Prepare agenda’s ahead of board meetings
    11. Minute meetings as required and complete research on behalf of the Directors
    12. Compile reports, request and chase reports along with other documentation from the team, on behalf of the Directors
    13. Create documentation using Microsoft Office, PowerPoint, Excel for the Directors
    14. Act as the main point of contact to HR and the Office Manager
    15. Involvement in the organisation of Health Unlimited social events and other HealthUnlimited duties.
  2. Unlimited responsibilities:
    1. Co-ordinate staff meetings and assist with organising Company events
    2. Manage the Health Unlimited training programme with HR
    3. Work closely with EA at Unlimited Group to schedule board meetings for the year
    4. Work with Reception to organise team birthday/ anniversary cards and gifts
    5. Provide meeting support when requested

Hours are 9 am to 6 pm, Mon-Fri.

Requirements and Prospects

Qualifications required

  1. Three A-Levels at grades A*-C (or 240 UCAS points) are preferred.
  2. Five GCSE grades C – A* (or 4-9), including Maths and English or Functional Skills level 2 in both.
  3. You will also have good knowledge of IT including all Microsoft packages. Ideally, we are looking for recent school leavers and non-graduates for the role.

Skills required

  1. Due to the nature of the role, the PA will be privy to confidential information, therefore must be discreet and maintain a high level of discretion always.
  2. Proficient in all Microsoft Office applications including Outlook and PowerPoint.
  3. Excellent organisational skills, ability to multi-task, prioritise tasks and organise others.
  4. Excellent oral and written communication skills and ability to professionally represent the Directors.
  5. Experience of successfully working with senior management.

Personal Qualities

  1. Confident and able to work on own initiative and with limited supervision
  2. Ability to develop and maintain good working relationships with all levels
  3. Experience of diary management and extensive travel management

Future prospects

Full-time opportunity may be available if the candidate excels in the role. Higher level Apprenticeship available following successful completion of the initial Apprenticeship.
