Detailed Job Description

The post holder will also be expected to cover reception in the event of staff absence or annual leave, this includes covering early starts. The position is suitable for someone who wishes to demonstrate initiative and develop their own skills.

Main Job Purpose

  • To offer general assistance to the practice team and project a positive and friendly image to patients and other visitors.
  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
  • Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of clerical support to clinical staff and other members of the practice team.
  • To facilitate effective communication between patients, members of the practice team and other healthcare professionals.

Specific Tasks Include

  • Daily management of prescription requests ensuring queries are passed to a GP.
  • Photo copying of medical records as requested and within the required timescales.
  • Providing assistance on the reception during busy times including answering the telephone, booking appointments and dealing with general enquiries.
  • Filing and locating patient records.
  • Dealing with mobile telephone e-mail notifications.New patient registrations.
  • Assisting with registration workflow tasks in the absence of the Practice Administrator.

Communication

The post-holder should recognise the importance of effective communication within the team and will:

  • Communicate effectively with other team members.
  • Communicate effectively with patients and carers.
  • Recognise people’s needs for alternative methods of communication and respond accordingly.

Most instruction and communication of activity will be via the practice manager or practice administrator. External communication will be with patients, Clinical Commissioning Groups and other NHS bodies, and other GP practices and service providers.

  • In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately.
  • In the performance of the duties outlined in this job description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential.
  • Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.
  • Administration cover for absences and help with extra-ordinary workloads.
  • Be generally involved in the administration of a small business.

Requirements and Prospects

Qualifications required

GCSE A-D grade in English and Maths or equivalent.

Skills required

  • Good written and spoken English
  • Ability to exercise initiative when dealing within own area of competence.
  • Ability to prioritise and manage workload.
  • Basic computer skills (Microsoft Office)

Personal Qualities

  • Good communication skills
  • good attention to detail are essential for the role.

Future prospects

Upon successful completion of the Apprenticeship program, you will be considered for full time, permanent employment. There will also be opportunities to take your career further through additional higher level training within the NHS.

Depending on your current qualifications, you may be required to complete the following:

  • Functional - Information Technology

You will be working within the front line services of the GP Practice and will need to be professional, confident and polite to all visitors and staff within the service. Working hours can start from 7am.
