Reporting to: HR & Office

Salary: £11,538.00

Closing Date : 28th September 2018

Probationary period: 6 months

Main Duties and Responsibilities:

Office Administration:

  • To monitor stock levels of stationery, cleaning and other goods as required by the organisation, placing orders as directed by the HR & Office Manager.
  • To act as first point of contact for the organisation in all aspects of communication including telephone, email and face to face.
  • Deal with a range of enquiries relating to subjects such as donations of furniture, goods and money, press enquiries and clients requiring assistance. Although the post holder may not be able to answer all queries, they will be able take all relevant information to pass onto the most suitable staff member who can assist.
  • Communications by email, letter and phone to organisations and individuals in respect of donations received and for other matters as required.
  • Filing documents and other paperwork and helping to maintain an archive system for the wider Admin & Finance Team.
  • Ensure the building and work environment is welcoming and is compliant with health and safety requirements.
  • General office administration duties.

Human Resources

  • Assist the HR & Office Manager in aspects of Human Resources as required.

Volunteers and Students

  • Assist the HR & Office Manager in aspects of volunteer and student recruitment and administration as required.

ISO 9001 & 14001

  • Assist the HR & Office Manager and Associate Directors of Operations to maintain the ISO 9001 and 14001 accreditation’s, including maintaining the Training Matrix, administering and monitoring Problem Reports and recording details taken from customer satisfaction surveys.
  • Assist with the administration of the Quality Management System.

General

  • The post will require attendance at meetings and events outside normal working hours.
  • To attend meetings with the Admin and Finance team or the wider Society team as and when required.
  • To ensure compliance with data protection requirements at all time.
  • Any other duties as reasonably requested.

Learner will develop an understanding of the role of organisations and industries, as well as gaining an understanding and awareness of employer’s expectations and employees’ rights and obligations.
  • Day 2 Managing personal performance and development: SMART targets; Professional development; Career development goals; Work-life balance; Feedback; Learning styles; Time management.
  • Day 3 Communication in a business environment: Clear, effective and professional written, verbal and non-verbal communication. Apprenticeship Assessment/ Programme Review visit at workplace.
  • Day 4 Customer service and Sales: Maximising sales (upselling & cross selling); Sales techniques; Feature and benefits; Needs and expectations; Brand promises; Service offer; Service knowledge; Equality and Diversity.
  • Day 5 Business awareness and change: Business structures and models; External and internal factors that may impact on a business; Goals, objectives and how these align with strategy; change implementation.
  • Day 6 Equality and Diversity: Understanding equality and diversity; Benefits of E&D; Legal implications. Apprenticeship Assessment/ Programme Review visit at workplace.
  • Day 7 Teamwork: Developing good work relationships; Making a positive contribution to the business; Dealing with conflict.
  • Day 8 Project development (½ day): Identification of project; Developing business case; Developing project plan.Health and Safety. Legislation requirements.
  • Day 9 Project development (½ day): Reviewing project progress; Developing project.Study ½ day. Apprenticeship Assessment/ Programme Review visit at workplace.
  • Day 10 Presentation skills: Project review; Presentation skills; Presentation software.
  • Day 11 Project presentations. Learner project presentations to employer audience. *Presentation of certificates for unit examination achievements.* Time/duration dependant on cohort group size. Apprenticeship Assessment/ Programme Review visit at workplace Ongoing Apprenticeship Assessment/ Programme Review visits at workplace every 6 – 8 weeks.

On successful completion of the apprenticeship there is a possibility of a job role.
The working hours are 9am till 5pm. Appointment subject to successful completion of an enhanced disclosure from the Disclosure and Barring Service. Valid driving licence and access to a vehicle is essential. Possibility of full-time permanent employment upon completion of the Apprenticeship. Normal place of work will be Truro – however, you will be expected to travel to other sites as required, so full driving licence and access to a vehicle is essential. Ability to work outside of ‘normal working hours’ is essential; for example, to represent St Petroc’s at weekend events.
